Rental Terms
All car rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines specific terms, conditions, insurance coverage, fees, and your responsibilities pertaining to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle requires:
- To rent a vehicle, you must be at least 21 years of age, though this may vary depending on the vehicle type, with extra fees applicable for drivers under 25. A valid full driving license suitable for the vehicle category is required, along with identification and proof of your current address. Valid payment details and a security deposit are necessary, as well as any additional criteria outlined in the Rental Agreement.
Booking and Payment Process
- Reservations can be made via our website, by telephone, or directly at our Dartford office. A booking deposit may be necessary to confirm your reservation. Full payment and a security deposit are generally required upon vehicle pickup. All prices are quoted in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, processed securely through trusted payment partners.
Vehicle Pickup and Drop-off
- At the time of collection, it is important to conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be generated and must be signed by you. Please return the vehicle in the same condition it was collected, accounting for normal wear and tear. Any new damage will be evaluated and appropriate charges applied. Ensure the vehicle is returned with the same level of fuel as at the start of your rental; refueling fees will be charged for lower levels. If you anticipate returning the vehicle late, please inform us as soon as possible, as late returns may incur additional fees. You will be responsible for any parking tickets, traffic violations, or other charges that arise during your rental, along with an administration fee.
Insurance and Liability Terms
- All car rentals come with basic third-party insurance included. You can find full coverage details and any applicable excess amounts outlined in your Rental Agreement. Additional insurance options may be offered to help lower your financial liability. It is advisable to review these options thoroughly. You will be liable for any damage or loss up to the insurance excess amount if not covered by additional insurance. Damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
7. Restricted Activities
Prohibited Uses of Rental Vehicle
- Use of the vehicle for any illegal activities is prohibited. This includes racing, rallying, off-roading, or engaging in other risky behaviors. Transporting hazardous materials or subletting the vehicle to others is not allowed. Driving under the influence of alcohol or drugs, exceeding weight or passenger limits, and operating outside designated geographical boundaries without authorization are also prohibited.
Breach of these terms may lead to rental termination and fees.
Limitation of Responsibility
To the fullest extent allowed by English and Welsh law, Braintree Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claims will be capped at the rental amount you paid in the last 12 months. This limitation does not apply to liability for death or personal injury due to negligence or for fraudulent actions.
9. Applicable Law
These Terms are subject to English and Welsh law. Any disputes will fall under the exclusive jurisdiction of the courts in England and Wales.

We reserve the right to update these Terms at any time. Changes take effect immediately upon publication on our website. Your ongoing use of our services indicates acceptance of the revised Terms.
